Business terms
Version 2.1 — effective 1 September 2026. These terms apply to every business using Pikkoh.
1. The agreement
By registering your business on Pikkoh, you accept these terms and confirm you are authorised to legally bind the business. The agreement is between your business and Pikkoh.
The platform is operated by Pikkoh Sh.P.K., Johan V Hahn 23, Prishtina, Kosovo ("Pikkoh").
2. Using the platform
You are responsible for the accuracy of the business information (name, address, services, prices, opening hours).
You are responsible for delivering the service to customers who book through the platform.
Misleading, defamatory or unlawful content is not allowed.
Registering the business requires verifying the phone number with a one-time code (OTP) sent over WhatsApp. Without completed verification no business account is created and the profile is not published.
Reviews: customers may only review bookings that have taken place. The business may reply publicly to any review, but may not delete, edit or manipulate reviews, may not buy, incentivise or create fake reviews, and may not disclose health or other sensitive customer data in a reply.
3. The plans and their limits
Pikkoh offers three plans: Free, Pro and Enterprise. The limits below form part of this agreement and are enforced technically in the platform.
Free plan (€0/month, forever): maximum 1 staff member; maximum 30 bookings per calendar month (bookings above the cap are blocked until the period resets); only the booking confirmation is sent, by email; no pre-appointment reminders are sent, neither by email nor by WhatsApp; simple branding only — logo and one accent colour (no cover image, no gallery, no secondary colour); no statistics or reports; no customer marketing tools; standard placement in search with no priority; standard support.
Pro plan (€29/month): includes up to 3 staff members; every active staff member above 3 is billed at an additional €10/month, added automatically to the monthly invoice when the staff member is created; the first 6 months from registration are free (trial), and during that period a fair-use cap of 400 bookings per month applies; this cap no longer applies once a paid subscription is active after the trial; booking confirmation and pre-appointment reminder sent by email and WhatsApp; 600 WhatsApp messages included per month (covering roughly 300 bookings, since each booking sends 2 messages: confirmation + reminder), plus 200 additional messages per month for every staff member above the 3 included; top-up packages can be purchased when the quota is exceeded: 100 messages for €9 or 300 messages for €26; once the monthly quota and any top-up balance are exhausted, notifications automatically fall back to email only and are never dropped; full branding (logo, cover image, gallery, primary and secondary colour); full customer register with history; marketing and campaign tools directed only at the business's own customers; full statistics and reports; priority placement in search results as described in section 7; priority support.
Pro pricing after the trial: if the business subscribes within 7 days of its own free trial ending, the base price is €29/month; if it subscribes later than that 7-day window, the base price is €49/month. The base price is locked at the moment of subscription and does not change afterwards. The additional €10/month per active staff member above 3 is unaffected and applies at either base price.
Enterprise plan: individually negotiated pricing and volume, no self-serve signup (through the sales team only); unlimited staff with no per-seat fee; priority support with a dedicated contact. The specific terms of an Enterprise agreement prevail over the Free and Pro plan limits described above.
4. Free trial and the move to the Free plan
A registered business starts on the Pro plan and the first 6 months from the registration date are free. No credit card is required to start. The business is notified by email and inside the management dashboard at least 30 days before the trial ends.
If the Pro plan is not confirmed before the trial ends, the account automatically moves to the Free plan with all the limits in section 3 (1 staff member, 30 bookings/month, email-only confirmation, no reminders, simple branding, no statistics and no marketing). The account is not suspended and your data stays stored and exportable.
5. Prices, quotas and changes to these terms
IMPORTANT:
Pikkoh reserves the right to change subscription prices, the quotas and limits included in the plans, or these terms of use. This right is general and is not limited to the WhatsApp quota covered in section 6.
Businesses with an active subscription are notified of any such change by email and/or by an in-app notice in the management dashboard at least 30 days before it takes effect. The notice describes the change and the effective date.
If you do not agree with the new prices, quotas or terms, you may cancel the subscription or close the business account at any time before the effective date, at no cost and without the registered card being charged for the new period. There is no minimum contract term, and business and customer data can be exported before closing.
Continued use of the platform after the effective date constitutes acceptance of the updated prices and terms, and authorisation to charge according to the chosen plan.
Changes that are in the business's favour (a price reduction, a larger quota, extra features at no cost) or that are required by law may take effect immediately, without waiting 30 days.
6. Notifications and the WhatsApp quota
WhatsApp messages and margin protection. The Pro plan includes 600 WhatsApp messages per month, plus 200 additional messages per month for every staff member above the 3 included. The quota resets at the start of each billing period and does not carry over. When the quota runs out, notifications continue by email only; you may buy top-up packages that never expire: +100 messages for €9 or +300 messages for €26. WhatsApp messages are billed by a third party (Meta) and the cost may change outside Pikkoh's control. Pikkoh therefore reserves the right to adjust the included quota, top-up prices or plan price with at least 30 days' notice as described in section 5.
How the quota is counted. A single booking normally sends two WhatsApp messages — the confirmation and the reminder around 24 hours before the appointment — and each one is deducted from the monthly quota. 600 messages therefore cover roughly 300 bookings per month. Email notifications are unlimited and never count against the quota. The reminder is only sent for active bookings (registered, confirmed or rescheduled) and is never repeated.
The Free plan includes no reminders and no WhatsApp messages; only the email confirmation is sent.
7. Placement in search
The Pro and Enterprise priority acts as a ranking tiebreaker between equally relevant businesses — it does not change relevance, does not override customer ratings, does not show a business in cities or categories where it does not operate, and does not guarantee any particular position. Businesses on the Free plan are ranked by relevance and rating, with no additional priority.
8. Payments and commissions
Details of the plan price and free period are provided during registration. Pikkoh charges no commission on bookings — only the monthly plan subscription and, where applicable, additional staff members and top-up packages are billed.
Additional staff members are billed from the billing period in which they are created; removing staff reduces the billing from the following period.
9. Data protection (GDPR)
With respect to the personal data of customers served by your business, Pikkoh acts as the data processor and the business as the data controller. The business commits to:
Process personal data only for booking and service purposes.
Not share the data with third parties without a legal basis.
Respond to customer requests for access, correction or deletion.
Notify Pikkoh within 24 hours of any data breach.
The Pro plan marketing tools may only be used towards the business's own customers and only on a valid legal basis.
10. Cancellations, "no-shows" and refunds
The business sets its own cancellation and refund policies. Pikkoh allows the business to flag customers who do not show up as "no-show". Disputes with customers are resolved directly by the business.
Customers can cancel or reschedule bookings themselves from their profile or from the link in the email or WhatsApp message, within the minimum notice period the business sets in the dashboard. When cancelling, the customer may add an optional reason; it is shown to the business and may not be required as a condition of cancelling.
11. Liability and disclaimers
Pikkoh is not liable for the quality of the business's service, disputes with customers, or financial loss arising from use of the platform. Pikkoh's maximum liability to the business is limited to the fees paid in the last 12 months.
12. Termination
You may cancel the subscription or close the account at any time from the management dashboard. Pikkoh may suspend or delete the account in case of breach of terms, fraudulent activity or legal request.

14. Market scope
The businesses and services offered on Pikkoh are exclusively located in Kosovo and Albania, and the business confirms that it provides its services from an address in one of these two countries. There is no restriction on customers' country of residence: anyone may create an account and book, as the service is always rendered at the business's physical location in Kosovo or Albania. Pikkoh does not direct or market its service supply to the European Union market; the German language option exists for German-speaking users of the platform.
15. Intellectual property
The platform, its source code, design, the "Pikkoh" brand and all related rights remain the property of Pikkoh Sh.P.K. The business receives only a limited, non-exclusive, non-transferable licence, valid for the term of the agreement, to use the platform to manage its own bookings.
Content uploaded by the business (logo, photos, texts, service names) remains the property of the business. By uploading it, the business confirms that it holds the necessary rights and grants Pikkoh a non-exclusive licence to display it on the public profile, in search results, on Pikkoh's social channels and in platform promotional material. The licence ends when the content is deleted, except for copies already published in printed material.
Copying, scraping, resale, or use of platform data to build a competing service is prohibited.
16. Account suspension and termination
Publication of the profile depends on verification (phone number and business details) and on approval by Pikkoh. Pikkoh may suspend publication (the profile is removed from search and from new bookings) or terminate the account where: registration details are inaccurate or falsified; the phone number or NUIS/NIPT is not verified; reviews are manipulated; the message quota or marketing features are used for spam or towards people who are not the business's own customers; unlicensed or unlawful services are offered; there is technical abuse or a security threat; an invoice remains unpaid after notice; or a competent authority requires it.
Except in urgent cases (fraud, security threat, legal order), Pikkoh gives prior notice and a reasonable period, normally 7 days, to remedy the breach. Bookings confirmed before suspension remain valid and the business must honour them or cancel them while notifying the customers. Decisions may be contested via a support ticket or at business@pikkoh.com; data is retained according to the periods in the privacy policy.
17. Limitation of liability
Pikkoh provides software infrastructure and is not a party to the contract between the business and the customer. Pikkoh is not liable for the quality of the service performed, for personal injury, for customer no-shows, for lost revenue, lost profit, loss of data or indirect damages.
To the maximum extent permitted by law, Pikkoh's aggregate liability for any claim arising out of this agreement is limited to the amount paid by the business for the Pikkoh service in the 12 months preceding the event, or EUR 100 where the business is on the Free plan. These limitations do not apply to wilful misconduct, gross negligence, or liability that cannot be limited by law.
Pikkoh is not liable for outages of third-party services (Meta/WhatsApp, Google, the email provider, hosting) or for events of force majeure.
18. Governing law and jurisdiction
This agreement is governed by the law of the Republic of Kosovo. The courts of Prishtina have jurisdiction over disputes.
Where the business acts as a consumer, or where a consumer is resident in Albania or in a European Union member state, this choice of law and jurisdiction does not affect the mandatory consumer-protection rights the consumer enjoys under the law of their country of residence, including the right to bring proceedings before the courts of that country.
19. Dispute resolution
The first step is to contact support through the dashboard or at business@pikkoh.com; we reply within 5 business days. If the matter is unresolved, the parties commit to 30 days of good-faith negotiation. Only after that period may the matter be brought before the courts under section 18. Personal-data requests are handled under the privacy policy and may be escalated to the Information and Privacy Agency (AIP).

Version 2.1 — 1 September 2026: clarified mandatory phone verification at registration, the rules for reviews and business replies, and customer self-service cancellation/rescheduling with an optional cancellation reason.
